Top 6 features of Intelligent Information Management Systems

Over three years ago, AIIM introduced the concept of Intelligent Information Management, or IIM, and began researching the connections between IIM and Digital Transformation.

The definition of Intelligent Information Management is a set of processes and underlying technology solutions that enable organizations to manage their data. IIM refers to how both content and data are managed within organizations. Enterprise Content Management (ECM) is defined as the organization of company content in a way that is easy to find, and relevant to the user. Intelligent Information Management is an advanced version of ECM, capable of handling the management of data as well as the content. Through IIM, the entire lifecycle of content, from its creation to distribution, storage, and use, up to archiving, is managed and easily accessible. A variety of unstructured data and content can be handled in a sophisticated manner.

According to AIIM – State of the IIM Industry 2020 information is an organization’s most valuable asset. This means that the focus on information management must become broader than simply reducing information-based costs and risks. While this is important, it is insufficient. Rather, organizations need to focus on how to effectively monetize their information assets, directly and indirectly, in order to move the organization forward.

However, a rising tide of information chaos and confusion imperils the Digital Transformation journeys of many organizations. The volume, velocity, and variety of information that most organizations need to manage, store, and protect now exceed their ability to even marginally keep pace.

To effectively utilize this vast amount of data and content, it’s essential to have systems in place which allow large and complex datasets to be easily managed and used.

IIM is focused on helping organizations better understand and use their content and data, across the entire company. As a result of having this knowledge, organizations can utilize and optimize their content. It also makes content easier to access, saving time. In the infographic below, I summarised the top IIM key features.

IIM applications do more than simply organize your corporate information and improve searches—they help manage and improve the complex interactions between people, processes, and technology. With features like AI-driven classification and tagging through text analytics, natural language processing (NLP), and image analysis, a robust IIM tool can help you modernize, digitize, and automate your company’s information management processes.

In the next article, we’ll discover how Alfresco and Lucidworks are both enhancing the information management industry, by 1) embracing rapid development to increase agility and knowledge worker productivity, and 2) developing a winning digital transformation strategy.
